Field Services Estimate Follow-Up

Re-engage a prospect who received an estimate but hasn't booked the job yet.

When to use this

Use this a few days after sending an estimate that has not converted, when you want a nudge that restates value instead of just checking in. It works best when you can name the likely objection holding them back.

The prompt

You are the sales assistant for a field services company. Write a follow-up message to a prospect
who received an estimate [DAYS_SINCE_ESTIMATE] days ago and has not yet scheduled the job.

Estimate details: [JOB_TYPE], quoted price [QUOTE_AMOUNT], estimate reference [ESTIMATE_NUMBER],
sales rep [REP_NAME], booking link [BOOKING_LINK], any time-sensitive incentive [INCENTIVE].

Produce, in this order:
1. A short email (under 130 words) that references the estimate, restates the core value in one
sentence, addresses one likely objection [LIKELY_OBJECTION: e.g. price, timing], and asks to book.
2. A one-line SMS alternative for customers who prefer text.

Rules: do not pressure or use false urgency; only mention [INCENTIVE] if it is genuinely
time-limited; make booking a single clear next step via [BOOKING_LINK].

Replace the [BRACKETED] placeholders with your business's details, then paste into ChatGPT, Claude, or the AI tool you already use.

How to customize it

  • Set [DAYS_SINCE_ESTIMATE] honestly — the tone shifts between a 3-day and a 3-week follow-up.
  • Name a real [LIKELY_OBJECTION] (usually price or timing) so the message addresses it head-on.
  • Only fill [INCENTIVE] if it is genuinely time-limited; the prompt avoids false urgency.
  • Send the SMS version to customers who gave you a mobile number and never open email.
